{"id":2170,"date":"2016-06-14T21:23:35","date_gmt":"2016-06-14T21:23:35","guid":{"rendered":"http:\/\/www.tsgarc.uk\/?page_id=2170"},"modified":"2016-06-15T17:32:30","modified_gmt":"2016-06-15T17:32:30","slug":"event-organisation","status":"publish","type":"page","link":"https:\/\/www.tsgarc.uk\/?page_id=2170","title":{"rendered":"Event organisation"},"content":{"rendered":"<p>Events are core at the TSGARC &#8211; we like to do stuff!<\/p>\n<p>This page is intended to provide guidance to members who simply have an idea, who wish to know more about what&#8217;s involved in organising an event\u00a0or who are just plain curious.<\/p>\n<h1>What is an event?<\/h1>\n<p>Just about anything really.\u00a0\u00a0We use\u00a0a very broad definition.\u00a0 Some examples are:<\/p>\n<ul>\n<li>giving a talk to members<\/li>\n<li>an external speaker giving\u00a0a talk<\/li>\n<li>a trip to a museum<\/li>\n<li>a day or multi-day outdoor activity such as a field weekend<\/li>\n<li>a quiz<\/li>\n<li>a meal.<\/li>\n<\/ul>\n<h1>So I have an idea how do I know if its appropriate?<\/h1>\n<p>Simple really, don&#8217;t be shy, talk it over with a few members and get some feedback.\u00a0 If in any doubt grab someone on the committee &#8211; they will be able to offer advice.<\/p>\n<h1>I have an idea, but do I have to organise it?<\/h1>\n<p>Not necessarily.\u00a0 But event organisation is considered a core member responsibility and all members are encouraged to take part.\u00a0 Depending on the size of the event, at the TSGARC,\u00a0we share the work between members. This lowers the work on individual members, diversifies event organisation between members\u00a0and gives\u00a0each member a greater sense of participation, reward and ownership.<\/p>\n<h1>But surely event organisation is the job of the committee, right?<\/h1>\n<p>We are a club of members for members.\u00a0 We members are what make the club.\u00a0 Being actively involved with events gives a sense of reward and ownership.\u00a0 For this reason all members are encouraged to get actively involved in event organisation &#8211; after all its a way of getting the club\u00a0doing the\u00a0things you enjoy.<\/p>\n<h1>So, I have an idea how do I make it happen?<\/h1>\n<p>Its important to understand that there are two key roles to organising an event.\u00a0 They are almost always fulfilled by two different members:<\/p>\n<ul>\n<li>leader &#8211; the member who has overall responsibility for making the event happen<\/li>\n<li>publicity &#8211; the member responsible for ensuring the event is publicised appropriately.<\/li>\n<\/ul>\n<p>Depending on the size of the event, the &#8216;leader&#8217; role may do almost all the work or be just a coordinator of other members.\u00a0\u00a0For larger events multiple members may be responsible for different aspects of the event.\u00a0 For example, a member for \u00a0accommodation, another for transportation,\u00a0another for booking venues etc.\u00a0 In this example, the &#8216;leader&#8217; would ensure that those separate activities deliver what is needed at the right time to make the event happen.<\/p>\n<p>Vital to our club is publicity.\u00a0 At\u00a0a basic level we have a need to\u00a0grow the club by attracting new members.\u00a0 If we keep all our events secret, no one outside the club knows that we exist or what we do.\u00a0 Publicity\u00a0may simply be letting members know an event is happening.\u00a0 But its highly likely to involve getting a News article onto our website both in advance and after the event.\u00a0 This can be small but ideally includes a photo.\u00a0 We also push publicity to the RSGB for inclusion in Radcom and to\u00a0the local press.\u00a0 Its the responsibility of &#8216;publicity&#8217; role to ensure we publicise the event appropriately.\u00a0 We have a dedicated committee role for public relations so its really good to get them involved &#8211; early.<\/p>\n<h1>To make an event happen we need stuff that costs money.\u00a0 Do I have to pay for it?<\/h1>\n<p>If your event needs money, something renting, purchasing etc\u00a0ensure you discuss this with the committee at the outset.\u00a0 We all contribute to the TSGARC\u00a0through\u00a0our membership fees\u00a0and part of that\u00a0contribution is for the purpose of supporting events.<\/p>\n<p>All expenditure must be approved by the committee.\u00a0 Depending upon the amount, the TSGARC may choose to pay directly or ask you to pay and reclaim the expense from the club.\u00a0 In the latter case it is essential that you obtain a receipt.<\/p>\n<p><b>Is there a checklist of things that need to be done\u00a0when organising an event?<\/b><\/p>\n<p>Yes there is \ud83d\ude42<\/p>\n<ul style=\"list-style-type: circle;\">\n<li>Lead organiser: \u00a0____Enter name here_____<\/li>\n<li>Publicity organiser: ____Enter name here____<\/li>\n<li>Date of the event: _____dd-mon-yyyy_____<\/li>\n<li>Description of the event: _____________________<\/li>\n<li>Committee approval: _____Date approval granted by committee_____<\/li>\n<li>Funding required: Yes\/No \u00a0(Delete as appropriate)<\/li>\n<li>Funding purpose: _____Describe what the funding is fo _____<\/li>\n<li>Funding approved by: __Date approval granted__ (Name committee member who approved funding)<\/li>\n<\/ul>\n<h1>Top tips<\/h1>\n<ol>\n<li>Don&#8217;t be shy &#8211; jump right in and help out<\/li>\n<li>If you are unsure about anything &#8211; find a committee member and discuss your idea with them.<\/li>\n<\/ol>\n<!-- AddThis Advanced Settings generic via filter on the_content --><!-- AddThis Share Buttons generic via filter on the_content -->","protected":false},"excerpt":{"rendered":"<p>Events are core at the TSGARC &#8211; we like to do stuff!
