This Privacy Policy explains how the Thornbury and South Gloucestershire Amateur Radio Club (TSGARC) (“we”, “our”, or “the Club”) handles and protects your personal data when you log into our members’ platform.

  1. Who We Are (Data Controller)

    Because your account is pre-created by the Club administrator, we only process the minimum amount of data required to identify you and grant you secure access:
  • Account & Identity Credentials: Your username, amateur radio callsign, email address, and encrypted password.
  • Technical Logs: Your IP address, web browser type, and the date and time of your logins.
  • Essential Cookies: Small text files placed on your device solely to keep you securely logged into your session as you move between pages.
  1. Why We Process Your Data (Legal Basis)
    Under the UK GDPR, we process your information using the following legal grounds:
  • Contractual Necessity / Membership Administration: We must process your login credentials and callsign to fulfill our administrative commitment to you as a club member and grant you access to the portal.
  • Legitimate Interests: We log IP addresses and login timestamps to maintain network security, prevent unauthorized access, and troubleshoot website errors.
  1. Data Sharing and Retention
  • Sharing: We do not sell, rent, or share your login data or callsign with any external third parties or marketing companies. Data is only accessible to authorized club administrators.
  • Retention: We keep your login account active for as long as you remain a member of TSGARC or require access to the portal. If you leave the club, your account and associated credentials will be permanently deleted.
    We maintain a historical archive of club newsletters in a secure, members-only area for historical and archiving purposes.
  1. Your Rights Under UK Law
    As a UK resident, you have strict rights regarding your data, including the right to:
  • Request a copy of the information we hold about you.
  • Request that we correct any inaccurate details.
  • Request the deletion of your account (which will remove your portal access).
